Excel Interface

This page shows how to import and export Custom Entities using an Excel Interface. The Excel Interface enables you to efficiently import modifications or entire Custom Entities from Excel files, enhancing your productivity within Enterprise Glossary. It can also be used to export Custom Entities to Excel.

Import Custom Entities

Prerequisites

Create an Excel file that contains:

  • One row for each Entity you want to update.
  • A header row with properties or column names.
  • A column that can contains the names of the (new) Custom Entities.

Import Custom Entities

To import Custom Entities from the Excel file:

  1. In the navigation bar, go to Custom Entities. A list of all available Custom Entities opens.
  2. Click Excel Interface > Import Custom Entities in the upper left corner of the Custom Entity overview. The window "Select Excel File for Import" opens.
  3. Click [Select a file] or drag and drop an Excel file from your computer into the window.Upload the
  4. Once the file is uploaded, click [Continue]. The import settings open. The Excel columns are displayed on the left side and the import settings are displayed on the right side.
  5. Select the column that contains the names of the Custom Entities from the Name dropdown.
  6. Select the Custom Template you want to update from the Custom Template dropdown. The content of the template is displayed at the bottom of the import settings.
  7. Optional: Enable Directory Shortcuts, see Directory Links.
  8. Verify the field mappings in the template displayed at the bottom of the import settings. You can select a column for every custom field. If the name of a column corresponds with the name of a field, it is assigned automatically.
  9. Click Start Import. The window "Excel Import" opens.
  10. Select how the system handles existing Custom Entities:
    • Edit existing Custom Entities.
    • Skip existing Custom Entities.
    • Cancel the import.
  11. Optional: Enter a separator character for fields that contain multiple values.
  12. Click [Start Import]. The window "Excel Import" closes.

Enterprise Glossary creates new Custom Entities and updates existing Custom Entities according to the selected import settings.

Export Custom Entities

To export Custom Entities to an Excel file:

  1. In the navigation bar, go to Custom Entities. A list of all available Custom Entities opens.
  2. Click Excel Interface > Export Custom Entities in the upper left corner of the Custom Entity overview. The window "Excel Export" opens.
  3. Select the Custom Template that contains the Custom Entities that you want to export.
  4. Select the Custom Entities that you want to export.
  5. Click [Export]. Enterprise Glossary generates an Excel file that contains the selected Custom Entities.
  6. Once the export process is complete, click [Download] to download the Excel file.

The downloaded Excel file contains the selected Custom Entities.

Limitations

  • Rich text fields are exported as plain text. Formatting and non-text content are not included.
  • Formulas inside Entities can be exported, but they cannot be imported again.
